Many clients read WhatsApp before they read email. Kwikbill puts a WhatsApp button next to Send on every invoice, quote, credit note and purchase order. One tap opens WhatsApp with a short message and the document link already filled in, addressed to the client's number. You press send in WhatsApp, from your own account, the way you would any other message.
Where the buttons are
- WhatsApp next to Send on a document's page and on its Send tab.
- Remind on WhatsApp on invoices that are open or overdue: a reminder with the balance, the due date and the link.
- Share link on WhatsApp next to Copy payment link: just the link, for clients who already have the invoice.
What happens when you tap
- If the client has a phone number, WhatsApp opens a chat with them. UK numbers written as 07… are converted to +44 automatically; other countries use the business's country as the default.
- If the client has no phone number, WhatsApp opens with the message ready and asks you to pick a contact.
- A draft is marked as sent, so its status and the viewed tracking work exactly as they do for email.
- The activity feed records “Shared on WhatsApp” with which message was used.
It works from WhatsApp on your phone, WhatsApp Desktop and WhatsApp Web.
The messages
Edit them in Settings → Client communication → WhatsApp. There is one each for invoices, quotes, reminders and payment links, with the same placeholders as the email templates: {client_first_name}, {number}, {total}, {balance}, {due_date}, {link} and {business}. The default invoice message is:
Hi {client_first_name}, here's invoice {number} for {total} from {business}: {link} — you can view, download and pay it from that link. Thanks, {business}What it is not
- Kwikbill does not send WhatsApp messages for you. Each one is sent from your WhatsApp, by you, so reminders on WhatsApp are a tap rather than a schedule. Scheduled reminders still go by email.
- There is no delivery report from WhatsApp. Use the viewed tracking on the document instead: it counts the moment the client opens the link.
- The client's reply comes to your WhatsApp, not into Kwikbill.
Sending from a Kwikbill business number through the WhatsApp Business API, with templates and delivery receipts, is planned once Meta's business verification is in place.
Privacy
The message and the client's number are passed to WhatsApp on your device; Kwikbill does not talk to WhatsApp's servers and stores nothing beyond the activity entry. The link itself is the same secure, unguessable link the client gets by email.
