Viewed and opened tracking

Last updated 26 October 2026.

“I never got it” is the oldest excuse in the trade. Kwikbill tells you, without any doubt, whether a client has opened your email and how many times they have looked at the invoice, so a chase can start with “you opened it on Tuesday”.

What is tracked

  • Views. Every time someone who is not on your team opens the document's link, Kwikbill records a view: the first time, the most recent time and the total count. Refreshes within ten minutes from the same device count once, so a client re-reading a page does not inflate the number.
  • Email opens. Each document email carries a tiny invisible image. When the client's mail app loads it, Kwikbill records “Email opened” with the time. Only the first open is kept.
  • Not counted: you and your team members opening the link, previews inside Kwikbill, and anything on void documents.

Where you see it

  • Invoice and quote lists: a Viewed column with an eye icon and the count, “Opened” when only the email has been opened so far, and a dash when neither has happened. Hover for the first and latest times.
  • On the document: a line under the status, for example “Sent 25 Oct · Email opened 25 Oct 21:40 · Viewed 3 times, last 26 Oct 08:12”. It stays there after the invoice is paid or overdue.
  • Activity feed: an entry for every counted view and for the email open.
  • Notification: the first time a client views a document, as before.
  • API and webhooks: the fields viewed_at, view_count, last_viewed_at and email_opened_at on every document, and the events document.viewed and document.email_opened. See the API guide.
  • Your assistant: ask Claude or ChatGPT which overdue invoices have never been opened.

What it cannot tell you

  • Some mail services load images on the client's behalf (Apple Mail's privacy protection and Gmail's image proxy, for instance). An “Email opened” can then appear before the client has read anything, or at a time that is not quite right. A view of the document itself is a far stronger signal.
  • If the client's mail app blocks images, the email open is never recorded even though they read it. Again, the view count is the one to trust.
  • Views are per link, not per person. If the client forwards the link to their accountant, the accountant's views are counted too.
  • Documents shared on WhatsApp are tracked in the same way once the link is opened; there is no email open for those.

Privacy

Tracking records the time of each view or open and, briefly, the IP address used to tell refreshes apart. It is disclosed in our privacy policy; the business sending the document is the controller of that information, as it is for the rest of the client's record. Nothing is shared with advertisers or third parties.
