Statements, the client portal and reviews

Last updated 1 November 2026.

Three things clients ask for sooner or later: “can you send me a statement?”, “where are all my invoices?” and, when the job went well, a way to say so. Kwikbill handles all three without you leaving the client's page.

Statements

  • Open the client, press Statement. You get a statement of account for the last 12 months: opening balance, every invoice, credit note and payment in order, a running balance and the balance due. Change the dates at the top for a different period.
  • Download PDF gives you the file; Email statement sends it to the client with the PDF attached, from your business like any other email, and notes “Statement sent” in the activity.
  • The statement ends with your bank details and payment instructions from Settings → Client payment options, so the client can pay from it. Drafts never appear on a statement. A credit note counts as a credit on the account even if you have not matched it to an invoice, so a client who is owed money shows as “in credit”.

The client portal

  • Every invoice, quote and credit note page has a small link: “See all your documents from <your business>”. Pressing it emails the client a portal link. The email goes only to the address you hold for that client, never to an address the visitor types, so nobody can fish for someone else's invoices. You can also send the link yourself: Send portal link on the client's page.
  • The portal lists the client's invoices (with what is still owed), quotes and credit notes from your business, with a link to each one and a Download statement button. It shows nothing you have not sent.
  • A portal link works for 30 days. It stops working early if you archive the client or change their email address; sending a new link is one click.

Private reviews

  • Once an invoice is paid, its page asks the client “How did we do?”: one to five stars and an optional comment. The receipt email carries the same link. Reviews are private: only you see them, nothing is published anywhere, and the client can change theirs later.
  • Read them in Settings → Reviews, with your average. Each new review also arrives as a notification (and on your phone, if you use the app). Request a review there, or from a paid invoice's menu, emails the client a polite nudge for invoices paid in the last 90 days.
  • Prefer not to ask? Turn off Allow reviews on the same page and the form disappears.

Take your data with you

Settings → Export data has always offered every table as a CSV. It now also has Prepare a ZIP of everything: every spreadsheet, a PDF of every document, your attachments, receipts, logo and settings in one file. It is built in the background, you are emailed when it is ready, and it stays available for seven days. Owners and admins can ask for one every ten minutes.
