Bank feed
Last updated 2 November 2026.
Most clients still pay by bank transfer. With the bank feed, Kwikbill sees each payment as it reaches your account, works out which invoice it pays and marks that invoice paid, so you no longer tick invoices off against your statement.
Connecting your bank
- Go to Settings → Bank feed, find your bank, choose business or personal account and press Connect. You log in on your bank's own website or app and approve access, then come straight back to Kwikbill.
- Kwikbill never sees your bank login. The connection runs through Enable Banking, an authorised open banking provider, using the same rules every UK and EU bank follows.
- Choose which accounts to watch. Accounts in your business currency are ticked for you; untick any you do not use for client payments.
- Owners and admins can connect and disconnect. Anyone else in the team can see the connection and press Sync now.
What Kwikbill reads
- Only money coming in: the date, the amount and the reference or payer name your bank shows. Payments going out are not stored.
- Kwikbill cannot move money, make payments or change anything at your bank. Account numbers are kept as their last four digits only.
- The first sync looks back 90 days. After that Kwikbill checks every night, and you can press Sync now at any time (once every 15 minutes).
Reconnecting
Banks only allow access for a limited time, usually 90 or 180 days, after which you approve it again. The card in Settings → Bank feed shows the date your access runs to; it turns amber two weeks before, and Kwikbill sends you a reminder a week before. Press Reconnect, approve at your bank again and everything carries on where it left off: the same accounts, the same matches.
How matching decides
- A payment is recorded on its own when it is exactly what an open invoice still owes and the bank reference carries the invoice number or the client's name. It is recorded as a bank transfer on the payment date, marked “Matched from bank feed”. No receipt is emailed; you can send one from the invoice if you want.
- Anything less certain waits on Payments → Bank payments. A likely invoice is shown with the reason (“Invoice number in reference”, “Client name and amount” or “Only invoice for this amount”): press Confirm. Otherwise use Match… to pick any open invoice the amount fits, part payments included, or Ignore money that is not for an invoice. Ignored payments can be restored.
- Prefer to check every match yourself? Turn off Record high-confidence matches automatically in Settings → Bank feed and every match waits for you.
Undoing a match
Open the invoice and press Remove next to the payment. The invoice goes back to what it owed and the bank payment returns to the list on Bank payments, ready to match again.
Disconnecting
Press Disconnect on the bank's card. Kwikbill closes its access at the bank and deletes the bank payments it stored for that connection. Payments already recorded on invoices stay. You can also withdraw access from your bank's own app at any time; Kwikbill then shows the connection as expired.
No bank feed yet?
You can still download a statement from your bank as CSV or OFX and drop it on Bank payments; Kwikbill finds the invoices it pays in the same way.
